Privacy Statement


1. Introduction and Purpose

St Leonards Ramblers (‘we’, ’us’, ‘our’) is based in East Kilbride and offers guided walks to members and visitors throughout the year. We take your privacy seriously and this document shows members and visitors how we collect, use and store their data in line with General Data Protection Regulations (GDPR).

2. Data Collected

We only collect your name, address, email address, mobile and house phone numbers. We ask members to carry cards with next of kin and medical details which are not seen by us and would only be shared with emergency services in the case of an emergency.

3. How Data is Used and Shared

The data is used and shared amongst committee members to communicate future walks, bookings, payments and walk lists. Walk participants’ information is shared with the walk leaders and back markers for safety checks. Information is not shared with third parties without the owner’s agreement, unless we have a legal obligation to do so or believe that it is necessary to do so to protect against legal liability.

4. Data Security

Your data is kept by members of the committee. Paper copies are kept in a secure cupboard in the secretary’s home. Electronic information is kept on the committee’s computers which are all password protected.

5. Data Retention

Members’ and visitors’ data is kept for 1 year after you leave St. Leonards Rambling Club and removed around the time of the AGM to allow easy return to the club. Photographs are kept as an archive of club activities and are shared with members on a secure website. Payment records are kept in line with legal requirements for audit purposes. You can request that your data be removed at any time by contacting the club.

6. Members Rights

Members and visitors have the right to access, correct and delete their data, or opt-out of emails at any time. This can be done by speaking or emailing the secretary of any member of the committee.

7. Photos & Media

By joining St Leonards Ramblers, either as a member or a visitor, you consent to your photo being used to promote the group through our website and media, unless you tell us otherwise by speaking to a member of the committee. You can step out of any photograph if you wish. Any photographs used for publicity purposes will have been taken within the previous 5 years.

8. Disclaimer

When participating in the club’s outings and activities, you are responsible for your own health and safety and accept that you undertake these walks entirely at your own risk. You must be properly equipped for the different conditions encountered throughout. You must wear proper walking boots and suitable outdoor clothing, including waterproofs and additional garments as appropriate. You should follow the instructions of the walk leader and backmarker and always stay with the group. If you feel unwell, then you should advise the walk leader or backmarker immediately.
